Moneyglass GAC runs pitches and training sessions for teams across every age group. Keeping track of who was on which pitch, and when, had become a job in itself.

Before: a spreadsheet and a lot of phone calls

Bookings lived in a shared spreadsheet. Two teams could claim the same pitch on the same evening without anyone noticing until they turned up to it.

Nobody had a reliable picture of who had booked what, or who had paid. Reconstructing it meant going back through messages, asking around, and taking people at their word.

Every change came through somebody’s phone — a text on a Sunday night, a call during work. Club volunteers were spending their evenings doing admin instead of running the club.

What we built them

ScheduleWise is a booking site for the club. It does five things, and it does them without anyone needing to be shown twice.

Members book their own slots

Anyone with access can see what is free across every pitch and take a slot themselves. No ringing round to check first.

Double-bookings stop happening

Everyone is looking at the same schedule, so a taken slot is visibly taken. Where a pitch can genuinely be shared, it allows that too — half a pitch each.

One screen instead of a phone full of messages

Admins see the whole week at a glance: which pitch, which coach, how long, and what kind of session it is.

Payment taken at the point of booking

Members pay when they book rather than being chased afterwards, so the money and the booking are never out of step.

It works on the phone in your pocket

Most bookings get made standing in a car park or on a sideline, so it had to work properly on a phone, not just a laptop.

After: the club got its evenings back

The spreadsheet is gone. Admin time dropped dramatically, and the phone calls that used to arrive every Sunday evening largely stopped.

Because everyone sees the same schedule, the arguments about who had booked what went away with it — the answer is on the screen.
